02

What the fee included

  • Every conference session except the Sunday workshops.
  • Admission to all poster sessions.
  • Tea and coffee at the scheduled breaks.
  • Lunch on each main day.
  • The Sunday welcome reception.
  • The Tuesday conference dinner.

Preconference workshops were booked separately and carried their own fee. The social programme page records the reception, football match and dinner in more detail.

03

Reduced categories

Students

The student rate was for people registered on an accredited college or university course. Tuition could not be paid or reimbursed by an employer. A valid student card was uploaded at registration.

Early career researchers

The early career rate was for researchers who had completed their terminal degree within the previous five years.

Developing countries

The reduced rate used the World Bank income groups: low income, lower middle income and upper middle income. Delegates had to live, work and be employed in the qualifying country. Full rate registrations from residents with sufficient resources were also accepted.

04

Payment and cancellation

Payment methods

Credit cards, bank transfers and iDEAL for Dutch delegates were accepted. Checks and debit cards were not. Bank charges were the delegate's responsibility. Payment was due within fourteen days of registering and before the conference opened.

Cancellation

A cancellation received by 28 June 2019 lost 25 per cent of the fee. From 29 June 2019 there was no refund and the full amount stayed due. Names could be changed only within the same company. Changes after 28 June 2019 carried a 40 Euro handling fee. Refunds were paid after the meeting.

Insurance and liability

Participants were strongly advised to arrange insurance covering cancellation, medical expenses and loss or damage to personal effects. The organisers and Utrecht University did not accept liability for personal injury, or for damage to or loss of property, during the conference. The legal disclaimer page sets out the general terms for this archive.

05

Carbon offsets

Travel to the meeting produced greenhouse gas emissions, and delegates could choose to offset them. The partner was Carbon Offsets To Alleviate Poverty, a charity based in the United States that supported certified forest protection and reforestation in Nicaragua, Uganda and India.

Plan Vivo certification required at least 60 per cent of offset revenue to reach rural communities in the world's least developed countries. The contribution was voluntary and sat outside the registration fee.

Archive note This reference edition does not process registrations, payments, refunds or offsets. The figures above are the published 2019 rates.
