Presenter guidance

Instructions for Presenters

A practical guide to the oral, poster, thematic poster and PechaKucha formats used at the 2019 meeting.

01

Speaking in an oral session

The oral format was deliberately tight. A speaker had a quarter of an hour in total: twelve minutes for the talk and three for questions.

  • A session lasted one hour or ninety minutes and carried four or six talks.
  • Two chairs kept time and guided the discussion.
  • Chairs were told to stop anyone who ran past the fifteen minute allowance, questions included.
  • Slides were landscape, in 4:3 or 16:9. The guidance suggested roughly one slide for each minute and warned against dense slides.
  • The venue supplied the laptop and the projector. Presenters did not use their own machines.
  • Files went to the Speaker Service Centre in Room 116 on the day before the talk. Presenters brought a copy on a USB stick as well.
  • Presenters introduced themselves to the chairs fifteen minutes before the session.
  • The Theater sessions were filmed. Nothing was published without the presenter's consent.
02

Poster discussions

  • A0 portrait, up to 841 mm wide and 1189 mm high.
  • Body text at 48 pt or larger. Names at 72 pt, affiliations at 48 pt.
  • The conclusion belonged directly under the title: bold capitals at 95 pt, no more than 25 words.
  • The submitted abstract was left off the poster. QR codes to digital material were welcome.
  • Presenters printed and carried their own poster. The venue offered no printing service.
  • Each board had a number and each poster a code starting with TPS.
  • A poster discussion lasted one hour or ninety minutes and carried twelve or twenty posters.
  • The first half hour or forty five minutes were for viewing. The rest belonged to the group discussion.
  • Presenters joined the chairs at the front and answered the issues raised.
03

Thematic posters

  • Same A0 portrait size and type guidance.
  • Posters went up between 08:00 and 10:00 on the assigned day.
  • They came down after the last session: after 17:30 on Monday and Tuesday, after 16:30 on Wednesday, and never later than 18:00.
  • Anything left after 18:00 was removed and destroyed.
  • Pins and other mounting materials were available in the poster area.
  • Presenters stood by their poster from 15:15 to 16:15 on the assigned day.
  • Student competition entries required a student as presenting author.
04

PechaKucha

  • Fifteen slides, twenty seconds each, five minutes in total.
  • The session ran ninety minutes with twelve presentations.
  • Two chairs kept time. A presenter who went past 7.5 minutes, questions included, was stopped.
  • Images worked better than text. Animation was discouraged, and any animation had to fit the twenty second slot.
  • Files were loaded at the Speaker Service Centre the day before, on the venue equipment.

Archive note Room numbers and times come from the 2019 presenter guidance. The final printed programme remained the authoritative source during the meeting.
