The conference registration fee includes access to the following:

Students

The ISEE 2019 Conference is offering a reduced registration fee to students enrolled in an accredited college or university program.
Students for whom tuition is paid for or reimbursed by an employer are not eligible for discounted registration.
During the registration students need to upload a student card.

Early career

The ISEE 2019 Conference is offering a reduced registration fee to early career researchers with less than 5 years of experience from their terminal degree.

Developing countries

The ISEE 2019 Conference is offering a reduced registration fee to residents of developing countries. Countries classified as developing countries for this purpose are those whose economies are listed by the World Bank as “Low income”, “Lower Middle Income”, or “Upper Middle Income” in the .

Delegates must be residing, working and be employed in a developing country to qualify for the reduced rate. We will also gladly accept registrations at full rates from residents of these countries who have sufficient resources.

Carbon Offsets

Events bring people together, but they also contribute to greenhouse gas emissions which cause climate change! We are therefore offering the opportunity to mitigate your carbon emissions resulting from travel to the conference. We’ve partnered with Carbon Offsets To Alleviate Poverty (COTAP.org), a U.S.-based charity which supports certified reforestation and forest protection projects in Nicaragua, Uganda, and India. All COTAP projects are certified by the Edinburgh-based Plan Vivo carbon standard, which ensures that at least 60% of carbon offset revenues are shared with rural communities in least developed countries where income levels are less than $ 2 per day.

Pre-conference courses

Payment conditions

No more than 14 days after having registered for the conference and at least before the start of the conference.

Payment Methods

We accept payments by credit card, bank transfer and iDEAL (Dutch participants). We cannot accept payment by check nor debit card. Any additional fees (e.g. bank charges) are at own expense. Payment of the applicable registration fee must have been made within 14 days after registration and at least before the start of the conference to secure your participation.

Cancellation Policy

Notification of cancellation of registration must be sent in writing to the .

  • For cancellations received up to and including 28 June 2019, a cancellation fee of 25% will be charged.

For cancellations received on and after 29 June 2019, no refund will be given, full amount is required.

  • Name changes are not accepted, unless the participant is from the same company.
  • A handling fee of EUR 40 per registration will be charged for every modification received after 28 June 2019.
  • All refunds will be processed after the event.

Travel and Health Insurance

It is strongly recommended that participants take out insurance to cover loss (including registration fees) incurred in case of cancellation, medical expenses and damage to or loss of personal effects. The organizers of the ISEE2019 Conference will not be responsible for any medical costs incurred by participants. Utrecht University and the Local Host Committee will not accept liability for personal injuries or for loss or damage to property belonging to Congress participants, either during or as a result of the Congress.

Liability

The Local Host Committee and Utrecht University act as agents only in securing hotels, transport and travel services and in no event shall be liable for acts or defaults in the event of injury, damage, loss, accident, delay or irregularity of any kind whatsoever during arrangements organized through contractors or the employees of such contractors in carrying out services. Hotel and transportation services are subject to the terms and conditions under which they are offered to the public in general. The Local Host Committee reserves the right to make changes when deemed necessary, without prior notice to parties concerned. All disputes are subject to the Dutch law.

Cancellation of congress

It is mutually agreed that in the event of total or partial cancellation of the congress due to fire, strike, natural disaster (either threatened or actual), government regulations or causes which would prevent its scheduled opening or continuance, the contractual relationship between ISEE2019 and the participant will be terminated immediately and ISEE2019 shall determine an equitable basis for the eventual refund of a portion of the registration or other fees after due consideration of expenditures and commitments already made. Under no circumstances is ISEE2019 responsible for any participant expenses (such as travel and lodging) or any other incidental or consequential damages.
